Phase 3 of 4 · Dangerous enough

Connected workflows

AI that works across your systems on its own — reading what arrives, checking it against your records, and flagging only what needs a person. Your team stops being the glue between systems.

Dangerous enough

“We want it working with our systems”

Sounds like you if…

  • Your team uses AI every day, but still copies its answers into other systems by hand.
  • The same information gets typed into email, the CRM and accounting.
  • Someone spends hours checking one system against another.

Where the time still goes

AI helps each person. But your people are still the glue between your systems.

  • AI answers get copied and pasted into the CRM, accounting or email.
  • Someone still checks invoices, orders or records line by line.
  • Work waits until a person has time to start it.

What you need at this phase

Needs access to your systems and a testing period on real work before it runs on its own. Best for tasks that repeat many times a week.

  • Connections to your systemsEmail, CRM, accounting and files — so AI can read and update them.
  • A clear workflowWhere information comes in, where it goes, and who checks it.
  • Approval stepsA person approves anything that sends, pays or changes an important record.
  • A testing periodIt runs on real work, side by side with your team, before it runs on its own.
  • Reports and alertsA record of what it did, and a flag when something looks off.

See it work: Your inbox, sorted and drafted

Before

Someone reads every message in the shared inbox, forwards it to the right person and types the same answers over and over. Quote requests get copied into the CRM by hand.

The first hour of every day
  1. A new email lands in your shared inbox, like info@yourcompany.com.
  2. The AI labels it: quote request, scheduling, billing, complaint or spam.
  3. For common questions, it writes a reply from your templates and info — and saves it as a draft. Nothing is sent.
  4. A person reviews, edits if needed and sends. Quote requests also become a new lead in your CRM.

What a person still does

  • Approves every reply before it goes out.
  • Handles complaints and anything unusual — those are flagged, not drafted.
  • Checks the labels each week at first, so we can tune them.

What it took

  • Setup: about two to four weeks, depending on your email and CRM.
  • Tools: your email (Google or Microsoft), an AI model, and a connection between them and your CRM.
  • Cost: pay-as-you-go AI usage plus the connection. We estimate it from your real email volume before you commit.

Where it falls short

It sometimes gets the tone wrong, or reads an upset customer as a routine question. That’s why nothing is sent without a person.

Examples

From our work

Invoice matching

Before
Staff compared vendor invoices to purchase orders line by line across two systems.
With AI
AI reads each invoice, checks it against the purchase order, and flags only the mismatches — 80% less manual data entry.
From our work

Morning briefing

Before
The owner starts each day digging through email and checking inventory by hand.
With AI
A scheduled run reviews email and stock levels overnight and puts the day’s action list on a dashboard.
Example

CRM that updates itself

Before
Salespeople skip logging calls and emails, so the CRM is always out of date.
With AI
AI reads the emails and call notes, updates the right records, and suggests next steps for review.

How we do it

  1. We map the workflow: where information comes in, where it goes, and who checks it.
  2. We connect AI to your systems — email, CRM, accounting and files.
  3. We set the rules and the checks, with a person approving anything important.
  4. It runs on a schedule or when something arrives, and reports what it did.
